Farm Income & Expense Tracking: See Your Real Monthly Dairy Profit
Milk sales look steady, so the farm "feels" profitable — but feed, vet bills, labour, and fuel quietly eat into that every month. Without tracking income and expenses separately, you genuinely can't answer "did I make money this month?" with a real number. Here's exactly how MilkMate's farm income & expense tracking works.
Where to find it
Open Farm from your supplier menu — the income/expense tracker sits alongside Animal Management in the same section, because both feed into your real farm profit.
Categories, ready from day one
The first time you open the Farm section, MilkMate seeds a set of default categories automatically — no setup required before you can start logging:
| Income | Expense |
|---|---|
| 🥛 Milk Sales | 🌾 Feed |
| 🐄 Animal Sale | 🩺 Veterinary |
| 💰 Subsidy / Grant | 🔧 Equipment |
| 👷 Labour | |
| ⛽ Fuel | |
| 💡 Utilities |
These cover most dairies out of the box, but you're not limited to them — add your own custom categories for anything specific to your farm.
Logging a transaction
Each entry captures everything you'd actually want to look back on later:
- Type — Income or Expense
- Category — pick from the list above or your own custom ones
- Amount
- Party name — who you paid or received from (the feed supplier, the vet, the buyer)
- Payment method — Cash, UPI, Bank Transfer, or Cheque
- Date & time
- Receipt photo — optional, attach a picture of the actual bill or receipt
Seeing your real monthly profit
Switch months using the picker at the top of the Farm screen, and MilkMate totals income vs expense for that month automatically — income minus expense is your real farm profit, not a guess based on how busy the month felt.
A practical example
- Milk Sales income for the month: ₹42,000
- Feed: ₹18,500
- Veterinary: ₹2,300 (from an animal's health record — see our animal management guide)
- Labour: ₹6,000
- Fuel: ₹1,800
- Total expense: ₹28,600
- Real profit: 42,000 − 28,600 = ₹13,400
That's a real number you can trust — not "milk sales felt good this month," but an actual profit figure with every expense accounted for.
