Dairy Shop App for India: Track Amul, Mother Dairy, Sumul & All Packaged Dairy — Stock, Sales & Customer Bills

You are not a dairy farmer. You run a doodh ki dukan — a dairy shop or dairy parlour — where every morning a distributor drops off crates of Amul Taaza, Mother Dairy toned milk, Sumul pouches, butter packs, paneer blocks, and curd cups. You split those across your 100–200 customers, collect payments at month-end, and try to make sure you did not buy more than you sold.

Dairy shops like yours operate across every city and town in India — in Surat and Ahmedabad (Amul, Sumul country), in Delhi and Noida (Mother Dairy country), in Bangalore and Mysore (Nandini country), in Ludhiana and Chandigarh (Verka country), and in Pune, Jaipur, Lucknow, and hundreds of other cities. The brands are different by region, but the problem is the same everywhere: two notebooks, no clear margin, and a chaotic month-end billing run. This guide shows how a doodh ki dukan owner — anywhere in India — can use a single app to record every purchase from the distributor, every delivery to every customer, and every payment received — so the chopda (hisab bahi) is retired for good.

1. The two sides of a dairy shop (doodh ki dukan)

Every doodh ki dukan runs two parallel records:

  • Buy side (Collection / kharid): What you bought from the distributor today — 50 pouches of Amul Taaza 500ml, 10 kg Amul butter, 8 kg paneer — at what price.
  • Sell side (Customer deliveries / bikri): What each customer received today — Mrs Patel got 1 litre Sumul toned milk, Mr Shah got 500ml Amul Taaza and 200g butter.

When both sides are recorded in one place, you can see at a glance: how much stock came in, how much went out, and what margin (munafa) you made — per product, every day.

2. Setting up your product catalog

Before you can record anything, you need a product list. The good news: you add products once and reuse them forever for both buying and selling. A typical doodh ki dukan catalog looks like this:

  • Amul Taaza 500ml / 1L — unit: pcs (Gujarat, pan-India)
  • Mother Dairy Toned Milk 500ml / 1L — unit: pcs (Delhi, UP, North India)
  • Sumul Toned Milk — unit: pcs (Surat, South Gujarat)
  • Nandini Milk 500ml / 1L — unit: pcs (Karnataka, South India)
  • Verka Milk 500ml / 1L — unit: pcs (Punjab, Haryana, North India)
  • Buffalo Milk (loose) — unit: L
  • Amul Butter 100g / 500g — unit: pcs
  • Paneer — unit: kg
  • Curd / Dahi — unit: kg
  • Buttermilk (Chaas) — unit: L
  • Amul Cheese Slices — unit: pcs
  • Ghee — unit: kg

You can add any product, set its unit, and start using it immediately on both the buy and sell sides. No separate "kharid products" and "bikri products" lists — one catalog, both sides.

Tip: For packaged bottles and pouches (Amul Taaza, Sumul), recording in pieces (pcs) is simpler — "48 pouches" rather than "24 litres". For loose or bulk items like paneer, dahi, and ghee, use kg.

3. Recording your daily distributor purchase (kharid entry)

Every morning when the distributor delivers, record it as a collection (kharid) entry:

  1. Select the source (your distributor — e.g., "Amul Distributor Surat" or "Patel Dairy Wholesale")
  2. Pick the product from your catalog
  3. Enter the quantity received
  4. Enter the rate you paid (your buy price per unit)
  5. The amount calculates automatically (qty × rate)

Repeat for each product in today's delivery. Each entry takes under 10 seconds. By the time the delivery van leaves, your entire kharid is recorded.

Example — morning distributor purchase

  • Source: Amul Distributor
  • Amul Taaza 500ml — 48 pcs — ₹22/pc — ₹1,056
  • Amul Butter 100g — 20 pcs — ₹56/pc — ₹1,120
  • Paneer — 5 kg — ₹280/kg — ₹1,400
  • Total kharid today: ₹3,576

All three entries sit in the distributor's ledger. At month-end, when the distributor's bill arrives, you have an exact record of every item received and the amount owed — no surprise discrepancies, no arguments over units or quantities.

4. Recording daily customer deliveries (bikri entry)

For each customer, record what they received today. For regular customers who take the same items daily, the app remembers their default quantities — a quick confirm is all it takes.

Example — daily delivery entries

  • Mrs Patel: Amul Taaza 500ml × 1 pcs, Dahi 200g × 1 pcs
  • Mr Shah: Sumul Toned Milk × 1 L, Amul Butter 100g × 1 pcs
  • Sharma Family: Buffalo Milk × 2 L, Paneer × 0.5 kg

Each customer has their own running balance (hisab) — total of all deliveries minus all payments received. You always know exactly who owes what, without adding up a notebook column.

5. Monthly customer billing (bill banana)

At month-end, each customer gets a bill that shows:

  • Every delivery: date, product, quantity, rate, amount
  • Total amount for the month
  • Any advance or payment already made
  • Balance due (baki)

This bill can be generated as a PDF and shared on WhatsApp — no printing required, no running to each customer's door with a handwritten slip. A customer who receives a clear, itemised digital bill pays faster. The bill is available in English, Hindi, and Gujarati.

If a customer's rate changes mid-month (say you passed on a distributor price increase), the app handles that correctly — entries before the change use the old rate, entries after use the new one. No manual recalculation.

6. Daily buy-vs-sell margin per product (munafa)

This is the number every doodh ki dukan owner needs to see every day — and almost no one tracks it:

Product Kharid (Buy) Bikri (Sell) Munafa (Margin)
Amul Taaza 500ml ₹1,056 ₹1,200 +₹144
Amul Butter 100g ₹1,120 ₹1,400 +₹280
Paneer ₹1,400 ₹1,650 +₹250
────────────────────────────────────────────────────────────────
Total ₹3,576 ₹4,250 +₹674

If any product shows a negative munafa, you are selling it for less than you bought it — either your sell rate is wrong or the Amul/Sumul distributor increased the rate without you noticing. Catching this on Day 1 is a small fix. Catching it on Day 30 is a month of losses.

7. Stock available — always know what you have

Your available stock for each product is calculated automatically:

Available = Opening stock + Bought (kharid) − Sold (bikri)

No manual stock-count required. If you entered 50 Amul Taaza pouches as opening stock, received 48 today, and sold 62 to customers, the app shows 36 pouches remaining. This tells you immediately whether you need to call the distributor for more stock before tomorrow's morning rush.

8. One ledger per distributor — settle monthly (hisab saaf karo)

Just like your customer ledger tracks who owes you, the distributor ledger tracks what you owe the distributor. Every kharid entry goes into his running balance. When you pay the monthly Amul or Sumul distributor bill, record the payment and the balance clears. If you pay in parts across the month, each payment reduces the outstanding — you always know the exact amount due before you write the cheque or do a UPI transfer.

Common problems dairy shops face — and how to solve them

"I don't know if I'm making munafa on each product"

Record your buy price (kharid rate) when stock arrives and your sell price in the product catalog. The margin strip then shows kharid vs bikri per product every day — you will know within a week which products are profitable and which are not.

"Customers say they didn't get certain items but I have no proof"

A daily bikri record with a timestamp is your proof. When a customer disputes a charge, you can show them the exact entry — date, product, quantity — and resolve it in seconds instead of arguing over a handwritten bill.

"Managing 150 customers in a notebook is chaos at month-end"

Each customer's running hisab is maintained live. At month-end you are not adding up 30 days of entries per customer — you just open their account and the total is there. Send the bill on WhatsApp and move to the next customer.

"The Amul/Sumul distributor bill never matches what I think I received"

When you record every delivery at the time of receipt, you have your own kharid record to compare against the distributor's invoice. Discrepancies surface immediately — before you pay.

Frequently asked questions

Can I use this app for a dairy shop that sells Amul, Sumul, Mother Dairy, and other branded products?

Yes. Add each product to your catalog (Amul Taaza 500ml, Sumul Toned 1L, Mother Dairy Toned 1L, Amul Butter 100g, etc.) with unit and sell price. Use the Collection module to record distributor kharid and the delivery module for daily customer bikri. Both sides feed the same ledgers.

How do I track stock of packaged milk pouches and bottles?

Set an opening stock count for each product, record every purchase as a kharid entry and every delivery as a bikri entry. Available stock updates automatically: opening + bought − sold. No separate stock register (bhandaar hisab) needed.

Can different customers have different rates for the same product?

Yes. Each customer can have a custom rate per product. If one customer pays ₹28 for Amul Taaza and another has a long-standing deal at ₹25, each customer's monthly bill is calculated at their own agreed rate.

Is a dairy shop management app different from a dairy farm app?

Yes. A dairy shop (doodh ki dukan) buys finished packaged products from distributors — no FAT/SNF testing — and sells to end consumers. A dairy farm app handles raw milk collection from farmers with FAT/SNF-based pricing. MilkMate supports both: FAT/SNF farmer collection for raw milk dairies, and simple qty × rate kharid for dairy shops.

Do I need a separate app for buying (distributor) and selling (customers)?

No. MilkMate handles both in one app — the Collection module is your kharid side (distributor purchases) and the customer delivery module is your bikri side (daily sales). One app, one product catalog, one place to check your daily munafa.

What is the best app for managing a doodh ki dukan in India?

MilkMate is a free dairy shop management app for India — add your products (Amul Taaza, Sumul, Mother Dairy, butter, paneer, dahi, ghee), record daily kharid from distributors, track customer deliveries, generate WhatsApp-ready monthly bills, and see your buy-vs-sell munafa per product. Works in English, Hindi, and Gujarati. No subscription, no hidden charge.

How can Amul or Sumul milk distributors manage daily delivery and billing?

Distributors can add all their products to MilkMate's product catalog with unit and sell price, record each customer's daily delivery, and generate itemised monthly PDF bills for WhatsApp. The app tracks who has paid and who has outstanding baki — all free, no subscription required.
